Registration
General Information
  • Since rather limited capacity is available nearby for lunch, free box lunch will be provided for every participant. You can also have lunch at the restaurant in Nara-ken New Public Hall (Conference Venue), but seats are rather limited. If you have time, you can go outside to taste Japanese traditional style food. To avoid extra cost, let us know for which days you need free box lunch.
  • We cannot accept cancellation after payment. We will send Paper Proceedings and CD-ROM Proceedings to those who cannot come after the conference.
  • (Advance) registration is done through creating your private page. It will be rewritable, but will be closed 12:00 on March 15, 2004. After that, register onsite.
  • Welcome reception will be held on March 23 evening. All the participants are invited. To avoid extra cost, let us know if you will not attend.
  • Dinner Banquet is scheduled on March 25. We are planning it in buffet style with seats.
  • Proactive Convention Co., Ltd. will handle the registration process.

VISA Information

Note that visa is required for participants from several countries, such as P. R. China. Please check with your local consulate/embassy on the requirements, keeping in mind that obtaining a VISA can be a lengthy process. Those who need a letter of invitation to the conference must first register for the conference. To request a letter, please send the following items to pro-office@gavo.t.u-tokyo.ac.jp

(1) the confirmation email received upon registration to the conference
(2) a draft of the letter needed

Letters will be mailed after registration payment is received. If you are in rush, let us know the situation.

We receive several requests to issue reference letter, etc. However, it is not easy to issue those letters. Try to find a way to get visa without our help first. (To contact travel agency, to ask your Japanese friend, etc.)
If you failed to find a way, contact us. But, we request you some official letter that your company/university will cover all of your travel costs even if some unexpected things happen. Also, we may be not able to issue the documents exactly as you requested.
We will issue acceptance/invitation letter on your request. That is our duty. But for the above, please remind it is absolutely our courtesy. It is our pleasure to help you if we can, but we cannot owe any financial risk.

We received several requests of invitation letters from those who might have no plan to attend SP2004. So we decided the following rule:

  • We will respond to those who send a proof what he/she completed the payment of registration.
  • If you are the author of one of the submitted papers (regardless of acceptance, rejection), tell us so. Then, we will hear your requests.

Sorry for the inconvenience for those who are planning to really attend SP2004, but to respond “spam” mails now becomes a burden for us.
